Using Radio Mall Data in WinFAX Pro
TM.There's more than one way to do this, but here's how WE do it:
Create the selection of records you want to FAX to using a real data base program. Be sure you've removed duplicate FAX numbers and the small percent of records where the FAX number is blank. Save this selection as a Dbase III (.dbf) file , for the sake of these instructions, call it "TEST1," and notice which subdirectory you've saved it to. If we've sent you a file customized for WinFAX Pro, you can skip this step.
Open WinFAX and click on "Phonebooks,"
Double click on "New Folder," Name the folder, then click on OK.
Single left click on the new folder to highlight it, then RIGHT click on it.
Left click on "Import."
In the "Format" box, click on the down arrow and select Dbase III +
Click on "select."
Under "Look in," click on the down arrow and find the subdirectory you saved "Test1" in. Highlight "Test1" (which may show up as test1.dbf.)
Now link some of the fields. We suggest you link the following.
WinFAX field (Phonebook fields) Radio Mall field (Import fields)
Company Station
FAX Number FAX
Zip Code Zip
To link a field, highlight the import field in the right box, highlight the Phonebook field in the left box and click on "LINK." Keep scrolling down in both boxes until you've linked all the fields you want to. MOST IMPORTANT is to be sure you link Fax Number to FAX. In the left box, it will say "Fax Number=FAX" if you have linked them properly.
Then click on "Okay."
You'll get a message saying, "Only a local number was selected, do you want to split them." Click on "NO." Depending on how many records you've selected to import, this could take some time to import the data. When you're notified that the files has been imported, click on "Okay," It may take a few minutes after you click on okay before the program is really finished.
You should now have a completed phone book on the screen in front of you, but if you want to send FAXES to everyone in the phonebook, you'll need to create a group.
Creating Groups in WinFAX PRO.
In the right box, single left click on the first recipient to highlight it. (not "new recipient, though.)
Now right click on that record and select "NEW GROUP." Under "Group Name," type in "1testgroup."
Now go to the bottom left box and left click once on the first record. Now hold down the "SHIFT" key, and while you're still holding the shift key down, tap on the "END" key to select all the records. Let go,. then click on "OKAY." Go have a cup of coffee while it says "expanding all subfolders of 1testgroup." If you get an error message that the operation was only partially completed, ignore it and click on okay.
Your group is now ready to FAX to. Prepare the document you want to fax in another program. From that program, you go to file, then print, then select WINFAX as your printer. Leave the number of copies at 1.
If you aren't getting the "1" long distance prefix when dialing, go to the WINFAX send box, click on OPTIONS, then PROPERTIES.
In the "DIALING" box, click on USE PREFIX and fill in the number 1 in the box to it's right.
Then click on APPLY, then OKAY. Click Okay again (in the send options box.)
Depending on how your program is configured, you may need to click on the PHONEBOOK tab to bring up a box on the right with your 1testgroup folder. Click on your group and it should appear in the "TO" box at the top left of the WINFAX PRO SEND box. Now just click on SEND and you're done. If it's a large file, it may take a few minutes before it starts sending.
TIPS to keep WINFAX from crashing.
WinFax saves a record of everything you fax. After several thousand faxes have been sent, it starts to slow down the program and if you don't remove some of those old records, the program may crash. To clean up old records, go to your SEND log, highlight the old records you want to remove, then go up to EDIT and then to "REMOVE." The records will appear to have been removed in a few minutes, but BEWARE, WinFAX won't really remove them until you completely CLOSE WinFAX. If the little yellow FAX icon still shows in the bottom right hand side of your screen, the program isn't fully closed. At each step of closing WinFAX, give your computer plenty of time. You'll hear that your hard drive is still clicking away while you think the computer is ready to do something else. Wait until your hard drive is completely stopped to reduce the chances of WinFAX crashing. If you've just removed thousands of records, this could take 5-10 minutes.

Instructions for loading .DBF files into Microsoft ACCESS TM
THESE INSTRUCTIONS ASSUME YOU HAVE AT LEAST BASIC KNOWLEDGE OF WINDOWS COMMANDS. FOR EXAMPLE, "CLICK" REFERS TO THE LEFT SIDE OF THE MOUSE BUTTON. IF YOU ARE USING A DIFFERENT VERSION OF ACCESS, THESE INSTRUCTIONS MAY NOT WORK.
IF YOU RECEIVED A FILE CALLED RADIO1.EXE OR RADIO1.ZIP, YOU MUST FIRST RESTORE THE FILE BY DOWNLOADING IT TO YOUR HARD DRIVE, THEN OPEN WINDOWS EXPLORER AND LOCATE THE FILE. DOUBLE-CLICK ON THE FILE NAME AND A BLACK WINDOW WILL OPEN. CLOSE THAT WINDOW AND CLOSE EXPLORER. IF YOU ARE NOT USING RADIO1.DBF, SUBSTITUTE THE NAME OF THE FILE YOU ARE USING, WHENEVER YOU SEE "RADIO1.DBF" BELOW.
THEN OPEN ACCESS. IF A WINDOW APPEARS SAYING "CREATE A NEW DATABASE USING..." CLICK ON "CANCEL" BEFORE PROCEEDING!!!
SELECT "FILE" (TOP LEFT OF SCREEN)
SELECT "NEW DATA BASE"
BLANK DATABASE SHOULD BE HIGHLIGHTED
THEN CLICK "OKAY"
THEN CLICK "CREATE"
THEN GO UP TO FILE (TOP LEFT OF SCREEN)

CLICK ON "GET EXTERNAL DATA"
CLICK ON "IMPORT"
AFTER THAT, MAKE SURE THE "LOOK IN" BOX IS LOOKING AT C:
IF "LOOK IN" IS LOOKING AT "MY DOCUMENTS" FOR EXAMPLE, CLICK ON THE DOWN ARROW TO THE RIGHT OF IT AND SELECT "C:"
THEN GO DOWN TO "FILES OF TYPE." CLICK ON THE DOWN ARROW TO THE RIGHT OF IT, THEN SELECT "DBASE III"

"RADIO1" SHOULD BE HIGHLIGHTED.
CLICK ON "OPEN" AND YOU'LL SEE A TABLE VIEW OF THE FILE.

FOR A TABLE VIEW OF THIS FILE, CLICK ON "VIEW" AT THE TOP OF THE
SCREEN, THEN CLICK ON "LIST." YOU'LL GET A BETTER VIEW BY CLICKING ON "SHRINK HELP" TOWARDS THE BOTTOM OF THE SCREEN.
YOU CAN ADJUST THE VIEWING SIZE OF THE COLUMNS BY DRAGGING THE BORDERS OF THE FIELD NAMES ("STATION," "ADDRESS," ETC.)
ONCE YOU HAVE DONE ALL THIS AND WORKED WITH THE FILE A BIT, YOU MAY WISH TO SAVE THIS AS A MSWORKS FILE. "RADIO1.WDB," BUT BE SURE YOU'VE GOT ALL THE FIELDS LONG ENOUGH. TO SAVE AS AN MSWORKS FILE, CLICK ON "FILE," THEN "SAVE AS" AND TYPE SHOULD READ "WORKS DB." THEN CLICK OKAY!
ApproachTM and DbaseTM can all load our .dbf files directly. Simply download the file and make a note of which folder you saved it in. After downloading the file to your hard drive, open Windows Explorer and right-click on the file name. Click on the option to unzip or decompress or expand. Open your data base program and go to FILE then OPEN, then select our file. If the "LOOK IN" box isn't pointed to the right folder, click on the down arrow to the right of LOOK IN, and select the folder you downloaded it to. With Approach, you'll also have to change the "FILES OF TYPE" box to Dbase, before our file name will appear. Again, this is done with the down arrow to the right of the FILES OF TYPE box.
Instructions for loading RADIO MALL data into ACT
TMCopy our .dbf file to the hard drive of your computer. Copy it to C:\
Open the Act program. WARNING: If you have already created an ACT database, click on
FILE, then NEW, then ACT DATABASE, then name it and save it before proceeding.
Click on FILE, then Click on DATA EXCHANGE, then Click on IMPORT
Under "What type of file," click the down arrow and select Dbase III-IV.
Click on the square to the right of "Filename and location."
Click on the down arrow to the right of "Look In."
Select C:\
Click the scroll box to the right until our file name appears.
Click on our file name, then click on OPEN.
Click on NEXT in the import wizard.
On the next screen "contact records" should already be selected, click on NEXT again.
Click on "DON'T USE PRE-DEFINED MAP."
Click on NEXT
Now MAP our fields to the appropriate ACT fields. For example, STATION appears in the left-hand box, click on the right-hand box and a down arrow will appear. Scroll down and select COMPANY.
Then click on the box to the left of ADDRESS, scroll down and select ADDRESS1.
For FORMAT, you can select USER1. On Page 1 of the radio mall documentation, go to the section where we show you our field names and write down "USER1" next to FORMAT. This will help you rename it later.
If there are fields you do not need, you can select "DO NOT MAP" for those fields.
It is possible that ACT will fail to spell out the complete names of some of our fields. If so, you can refer to page one of our documentation to show you which order our fields are in.
When you've finished mapping; to make the process easier for future updates, click on SAVE MAP. We suggest you name it RM.MAP.
Depending on the speed of your computer, it will now take 5-20 minutes to import the file. Have a cup of coffee.
For best use of the database, click on "EDIT," Then click on "Define fields."
Scroll down to USER1in the right-hand box.
Go over to the left-hand box and change the name from USER1 to FORMAT.
Our documentation shows you the field types and lengths. It is
important that you tell ACT that our SIZE, RANK, POWER, and SHARE fields are numeric. You should also change the size of the fields to match up with our documentation.Repeat the procedure for the rest of the fields and you're DONE!

Instructions for loading the dBase file into Excel on a PC:
Normally we send you an Excel file, but
if you ordered dBase and decide to use Excel instead, it's easy:
VERY IMPORTANT!!! After downloading the file to C:\My Documents on your hard drive, open Windows Explorer and double-click on the file name. (For Windows ME, you will have to right-click on the file name and select "Extract All.") If you received a file called "RADIOD.ZIP," it will unzip to a Dbase file called "RADIO1.DBF." These are the files to bring into your program...NOT the "ZIP" files. If you're using AOL, it will automatically unzip the file as soon as you close AOL.
Next, open EXCEL.
Then go to FILE in the upper left hand corner
Click on FILE
Click on OPEN
At the bottom of the new window that will open up, look for 'FILES OF TYPE"
There will be a black down arrow to the right of this section. Click on the arrow
and scroll down to Dbase files (*.dbf)
Select Dbase files and our file name should appear in the above window.
Click on our file then click on OPEN
In a few seconds our file will appear. After it has, save the file as an Excel workbook.
To do this, click on FILE
then click on SAVE AS
In the bottom of the new window that will open, look for SAVE AS TYPE.
There will be a black down arrow to the right of this section. Click on the arrow
and scroll up to Microsoft Excel Workbook. The next time you want to open the file, you can just go to FILE, then OPEN, and our file should show up on the next window without having to select Dbase.
